We are currently seeking an Administrative Assistant to enhance office efficiency through effective task management and operational support. A key function of this role is to ensure the smooth running of daily activities and to maintain the effectiveness of the organization.

Position: Administrative Assistant

Job Responsibilities

  • Efficiently manage incoming calls by answering phones, accurately recording messages, and handling calls appropriately.
  • Respond promptly to customer e-mails, telephone calls, messages, and other forms of correspondence.
  • Ensure friendly and timely resolution of customer queries to enhance customer satisfaction.
  • Oversee the smooth operation of office equipment, coordinating maintenance and repairs as necessary.
  • Organize and maintain schedules, appointments, and meetings for team members, ensuring effective time management.
  • Coordinate logistics documentation, ensuring compliance with cross-border shipment regulations.
  • Liaise with transport and logistics partners to ensure timely and efficient delivery of services.
  • Maintain order and accessibility of invoices, reports, and correspondence for easy retrieval.
  • Keep a well-organized inventory of office supplies and initiate timely orders to replenish stock as needed.
  • Coordinate logistics for office events and travel arrangements, ensuring smooth execution.
  • Prioritize and organize various administrative tasks to ensure efficient workflow.
  • Maintain a well-organized and efficient office environment.
  • Manage overall administrative responsibilities, contributing to the smooth functioning of daily operations.

 

Job Requirements

  • Completion of Secondary school.
  • Minimum 1 year of experience in administration or completion of college or other program for administrative assistants/secretaries.
  • Strong communication and interpersonal skills.
  • Proficient in Microsoft Office Suite and other relevant software.
  • Excellent organizational and multitasking abilities.
  • Attention to detail and accuracy is a must.
  • Ability to work in a team environment.
