Gryphon Group specializes in real estate development with a highly- experienced Vancouver-based construction team. With the development of the enterprise and the expansion of business, ensuring that every detail receives the utmost attention. We are now looking for an experienced office administrator.
Salary: 34.65/hour, 30 hours/week

Key Responsibilities:
Office Operations & Supply Management:
- Ensure office and kitchen supplies are stocked and ordered or purchased as needed.
- Maintain smooth office operations, including liaising with property management for any facility issues.
- Log, track, and manage office supplies inventory.
- Oversee company storage organization and arrange any necessary office rearrangements or moves.
Administrative Support:
- Create, process, and approve Purchase Orders (PO) and Change Orders for operational expenses, ensuring all necessary documents are submitted through TimberScan.
- Assist in entering executive expenses and handling personal reimbursements.
- Organize and record receipts for Operations (office/ VIP/ immigration/ hoc).
- Support the operations team in managing budget changes and tracking expenses.
Communication & Correspondence:
- Manage incoming phone calls, emails, and mail, distributing correspondence to the appropriate departments.
- Send office announcements and schedule meetings.
Event Coordination:
- Assist in booking and organizing internal company events.
- Prepare and send holiday gifts to clients.
Employee Training & Support:
- Conduct orientation training for new employees.
- Create fillable office request forms to streamline office-related requests.
Requirement:
- High school graduation and 1-2 years of experience as an administrative assistant. or a college diploma or other program certification in an administrative assistant or secretary-related field.
- Strong organizational and multitasking skills, attention to detail, and proficiency in Microsoft Office (Word, Excel, Outlook).
- Class 5 driver’s licence
- Work weekends or evenings as needed
- Speaking Mandarin will be an asset
