Job Summary:
The Philanthropy Services Assistant works closely with the Philanthropy Services team to manage and process donations given to the agency. They also assist in managing the integrity of the database and have contact with donors as required under the direction of the Philanthropy Services team.
Your Role:
Archway’s Philanthropy Services Assistant with the Philanthropy Program contributes by:
- Helping manage donor database and incoming donations, and processing of receipts.
- Entering donor information in the database, creating batches and handling bank deposits or relevant reports for all donations.
- Processing multiple donation types and methods: cheques and cash; credit/debit from various locations; EFT including Canada Helps and PayPal; payroll donations / pledges; preauthorized credit cards and CAFT; and gift in kind.
- Collecting, organizing, and analyzing donation statistics for the creation and update of various reports to be used for future campaigns.
- Contacting and speaking with donors for donor engagement.
- Responding to donor requests and correspondence in relation to setting up pre-authorized gifts and donations, etc.
- Providing administrative support to the Philanthropy Services team, as needed.
This position is a great fit for someone who has great interpersonal skills, is comfortable contacting and speaking with donors, has excellent attention to detail, is comfortable handling and counting cash, and is proficient in the use of Excel.
Our Offer
- Wage: $22.00 per hour
- A part-time position at 18 hours per week, 3 days a week, availability Mondays to Fridays, from 8:30 AM to 5:00 PM. Some evening/weekend work may be required.

Getting an Interview – you will be considered if you have:
- Completion of Grade 12 or equivalent.
- Post-secondary courses in applied business technology an asset.
- Related experience in a database management or fund development role.
- Donor database experience is required.
- E-Tap and Raiser’s Edge experience is preferred.
The Job Requires you to have:
- Strong organizational and time management skills; able to balance and manage competing projects and priorities.
- Good understanding of how to track and organize data.
- Proficient in Microsoft Office 365, particularly Excel.
- Working knowledge and ability to use database programs, particularly donor databases.
- Knowledge of CRA receipting rules.
- Excellent attention to detail.
- Comfort and ability to call and speak with donors.
- Comfort and ability to handle and count cash.
- A well-developed ability to switch tasks, as interruptions are common.
- Ability to work in a busy environment with demanding deadlines.
- Ability to work in a shared office space; adherence to health and safety protocols is required.
- Ability to sit for extended periods of computer screen/keyboard use.
- · Ability to enter data accurately over prolonged periods of time.
- Ability to work on repetitive tasks, requiring attention to detail and accuracy.
- A satisfactory Criminal Records Check is a condition of employment.
